Rosscarbery Rowing Club

Privacy Policy

Last updated 29 October 2026

This notice explains what personal information Rosscarbery Rowing Club collects through rosscarberyrowing.ie, why we collect it, who we share it with and the choices you have. We keep it short because we collect very little.

1. Who we are

The website is run by Rosscarbery Rowing Club Company Limited by Guarantee, based in Rosscarbery, County Cork. The club is the data controller for personal information collected through this website under the General Data Protection Regulation (GDPR) and the Data Protection Act 2018.

2. What we collect

  • Contact form: your name, email address, phone number (if you give it), the type of enquiry and your message.
  • Spam protection: when you use a form, Cloudflare Turnstile checks that you are a real person. To do this Cloudflare processes technical information such as your IP address and browser details.
  • Basic security records: to stop the form being flooded, our form system keeps a scrambled (hashed) version of your IP address for about 10 minutes, and a record that a message was sent (without its content) for 24 hours.
  • Website usage (only if you agree): we use analytics to see which pages are visited and how the website is used. It only runs if you accept analytics in the cookie banner. See our Cookie Policy.

The website has no user accounts or public comments, and we do not ask for health or other sensitive information through it. Please do not include medical details in a contact message; a coach or committee member will talk to you directly where that is needed.

3. How we use it

  • To reply to your enquiry and, where you ask, to follow up about joining, training, events, volunteering or supporting the club.
  • To send you an automatic email confirming we received your message.
  • To protect the website and our inbox from spam and abuse.
  • If you accept analytics, to understand how the website is used so we can improve it.

We never sell your information or use it for advertising, and we will not add you to a mailing list unless you ask us to.

4. Our legal basis

  • Your consent when you tick the box on the contact form, and when you accept analytics cookies.
  • Our legitimate interest in keeping the website and forms secure and free of spam.

You can withdraw consent at any time by emailing us or changing your cookie settings.

5. Who we share it with

Only with the services that make the website work, each under its own data protection terms:

  • Cloudflare: spam protection (Turnstile) and the system that receives the contact form.
  • Resend: sends the contact form emails to the club and your confirmation email.
  • Google (Gmail): the club's email inbox, where enquiries arrive.
  • Netlify: hosts the website and keeps standard server logs.

Some of these companies are based in the United States. Where information leaves the European Economic Area, they rely on approved safeguards such as the EU-US Data Privacy Framework or standard contractual clauses.

Within the club, enquiries are seen only by the committee members who need to answer them. We will share information with others only if the law requires it, or with your agreement.

6. How long we keep it

  • Enquiry emails: as long as needed to deal with your enquiry, and deleted within 2 years unless you become a member or ask us to keep in touch.
  • Security records: about 10 minutes (hashed IP address) and 24 hours (form submission record).
  • Cookie choice: 12 months, after which we ask again.

7. Photos and club news

We share photos and results from regattas, training and club events on this website. We only publish photos of junior members where a parent or guardian has given consent. If you would like a photo of you or your child removed, email rosscarberyrowing@gmail.com and we will take it down as soon as we can.

8. Membership

Joining the club involves a separate membership process, which collects more information (for example emergency contacts). You will be given information about how that is handled when you register.

9. Your rights

Under GDPR you can ask us to:

  • give you a copy of the information we hold about you;
  • correct anything that is wrong;
  • delete your information;
  • limit how we use it, or object to how we use it;
  • give you your information in a portable format.

Email rosscarberyrowing@gmail.com and we will reply within one month. If you are unhappy with how we handle your information, you can complain to the Data Protection Commission at dataprotection.ie.

10. Changes to this notice

We will update this page if anything changes, and show the date of the latest version at the top.
